Insurance Documentation Services

Detailed documentation and direct adjuster coordination to support accurate, timely claim resolution.

ADS field technician documenting storm damage with photos and measurements

Why Documentation Matters

The quality of documentation submitted with an insurance claim directly affects the speed and accuracy of its resolution. Vague descriptions, missing photos, and inconsistent measurements create questions that slow the process for everyone involved: the policyholder waiting for repairs, the adjuster managing a heavy workload, and the carrier trying to close claims efficiently after a catastrophe event.

Adjusters need specific, verifiable information to approve line items. They need to see the damage clearly, understand the scope of work performed, and confirm that charges align with industry standards. When documentation is thorough and organized from the start, it reduces back-and-forth requests for supplemental information, avoids unnecessary re-inspections, and shortens the time between service completion and payment.

At ADS, documentation is not an afterthought added at the end of a project. It is built into every step of our workflow, from the initial site assessment through final completion. Our field teams are trained to document as they work, producing a complete, timestamped record that tells the story of the damage and the response in a format adjusters can process quickly.

What We Document

Photo & Video Evidence

Every project begins with a comprehensive photographic survey of the property. We capture wide-angle context shots that show the overall scene, mid-range shots that identify specific damage areas, and close-up detail shots that reveal the nature and extent of each damage point. All images are geotagged and timestamped with metadata that is verifiable and tamper-evident. Video walkthroughs provide additional context for complex or large-scale losses, showing spatial relationships between damage areas that static photos cannot convey.

Damage Scope & Measurements

We record precise measurements of all affected areas: the square footage of tarp coverage, linear feet of damaged ridge or eave, dimensions of openings requiring board-up, and the area of water-affected flooring or walls. These measurements are documented on site sketches and floor plans, providing adjusters with the quantitative data they need to validate line items. Our scope reports are clear, specific, and free of inflated or ambiguous language.

Pre-Existing Conditions

Distinguishing storm damage from pre-existing wear is critical to accurate claims processing. Our field teams are trained to identify and document conditions that predate the loss event, such as prior patching, weathered materials, long-term water staining, or deferred maintenance. This information protects carriers from overpayment and protects policyholders from having legitimate damage dismissed because it was not clearly separated from pre-existing conditions. Transparent documentation benefits every party.

Aerial Image & Measurement Support

For tarping and roofing claims, overhead perspective is invaluable. ADS utilizes aerial imagery to capture the full scope of roof damage and tarp coverage from angles that are impossible to document from ground level or even from the roof surface itself. These overhead images show the exact footprint of tarp installations, the relationship between tarped areas and surrounding damage, and the overall condition of the roof plane.

Aerial measurements support the reasonableness of tarp area calculations. When a carrier questions whether the tarped square footage aligns with the actual damage, overhead imagery provides objective visual evidence. The images clearly show tarp boundaries, overlap areas, and the underlying damage that necessitated coverage. This is particularly important for large residential roofs and commercial properties where tarp installations can span thousands of square feet.

We also use aerial imagery to document conditions that are difficult to assess from the roof deck, such as damage to upper-story facades, chimney flashing, and roof penetrations. These images are included in the standard documentation package and are formatted for easy integration into adjuster reports and claims management systems.

Working with Adjusters

ADS understands that adjusters are often managing hundreds of claims simultaneously after a major weather event. Our documentation is designed to make their job easier, not harder. Reports are formatted consistently with clear section headings, numbered photo references, and a summary page that provides the essential information at a glance.

We coordinate directly with adjusters throughout the project lifecycle. When an adjuster is assigned to a claim we have serviced, we provide the complete documentation package promptly and make ourselves available for questions or supplemental information requests. If an adjuster needs to schedule an on-site inspection, we coordinate scheduling and can have a crew member available to walk the property and explain the work that was performed.

Our timeline is straightforward. Initial documentation is typically available within 24 hours of service completion. Final reports, including drying logs for water extraction projects or completion photos for tarping, are delivered within 48 hours. For large-loss events with multiple properties, we can prioritize reporting based on adjuster needs and carrier workflow requirements.

For Insurance Carriers & TPAs

ADS operates as a carrier-conscious contractor. We understand that our documentation becomes part of the permanent claim file, and we produce it accordingly. Our scope reporting is disciplined: we document what we find, report what we did, and charge for what the work required. We do not inflate scope, recommend unnecessary services, or use ambiguous language that creates coverage questions.

For carriers and third-party administrators managing catastrophe events, we offer standardized reporting formats that integrate with common claims management platforms. Our documentation packages can be customized to match carrier-specific requirements, including specific photo labeling conventions, report templates, and data fields.

Standardized reporting formats for claims platforms
Disciplined scope reporting without inflation
Pre-existing condition identification
Aerial imagery for tarp area verification
24-48 hour report turnaround
Direct adjuster coordination and field support
